About Classes

Any user with LMS Admin module permission for an organizational unit will have access to LMS > Classesfolder. Frontline classes have a wide variety of optional features for administrators to easily capture any data pertaining to the class or learners. It is possible to create a simple class without any of the optional features. The optional features are listed below.

Class pre-work

Learner self-enrollment, which choice of class dates

Enrollment approval by learner's supervisors

Monitoring scheduling conflicts for learners, instructors and classes resources (such as class location)

Managing enrollment and waiting list for filled classes

Creating class sign up sheet

Choice of methods for entering class attendance records

The Classes folder gives administrators the ability to create and manage classes within their organizational unit. Classes are organized into four different folders: Open, Completed, Cancelled, and Awaiting Interest.

  • Open Classes - Classes located in the Open folder have a future Start Date with a status of either Open or Full. Classes with an Open status are available for learners to enroll in. However, only learners that have the training item associated to the class as part of their curriculum will have the ability to enroll in an open class. Classes with a Full status have reached the enrollment capacity. Depending on the configuration of the class, learners may select to be placed on a waiting list for classes with a Full status.   • Completed Classes - Classes located in the Completed folder have past dates of completion and a Completed status. Completed Classes cannot be edited except to enroll missed learners, add missing learner records, and attach additional class documents.   • Cancelled Classes - Classes located in the Cancelled folder were once open for enrollment but were cancelled by an administrator and have a status of Cancelled. An administrator can cancel a class any time before the class has begun, even after learners have enrolled. Cancelled classes cannot be edited except for adding additional class documents through the attachments tab.   • Awaiting Interest Classes - Classes created in the Awaiting Interest folder have been created for learners, regardless of their curriculum, to express interest in attending. These classes have a status of Awaiting Interest, until the administrator has determined there is enough interest in a class to change the status to 'Open' and configure the required fields or tabs for offering a class. Learners are able to express interest in classes through the Quick Links > Show Interest in Classes link from the Frontline Desktop. E-mail notificationscan be sent out specifically for a class to keep learners informed of any status changes or updates made to the class. When the Class Notification E-mails box is checked for a class, Frontline sends out instantaneous e-mails to learners when the below actions occur.

Cancellation of a class

 

Learner status is automatically tracked by Frontline for all learners enrolled in a class. A learners status can be viewed through the learners tab for either Open or Completed class. Leaners can have the status below once enrolled in a class.

  • Enrolled - The learner is enrolled in the class.
  • Attended - The learner has an attendance record for the class.
  • No Show - If the learner fails to enter record within the validity period of credit key or the administrator fails to enter valid record within 30 days of the class end date.
  • Class Canceled - The learner was enrolled but the class was canceled.
