Create and Maintain Completed Classes

Navigate to LMS > Classes > Completed > Organizational unit (if applicable).

The table below describes the key fields on the Classes > Completed list View.

Field

Class Name

Uniquely identifies the class created for a training item.

Training Item

The ILT-type training item for which the class is created. When the training item is added to a learner's curriculum, the classes created for it are displayed to the learner.

Item Code

Training item code

Status

Classes > Completed can have a status of "Completed".

Class Was Full

Displays if the class was at maximum capacity with "Yes" or "No".

Date Created

Date the class was created in Frontline

How to Record Attendance

Administrators can give learners credit for a class or learners can credit themselves.

These two options allow learners to credit themselves for a class:

  • Checking the Credit Via Key box when creating or editing a class. This allows learners to credit themselves from their Frontline Desktop using a credit key handed out in the class.

  • Attaching a test to the training item. This allows learners to take a test and get credit for the class if they pass. When the learner clicks on the training item on their desktop, training launcher will display a Test button.

  • Procedure: Record Attendance

    Administrators follow these steps to give learners credit for a class:

    Select Classes > Completed from the system menu.

    Find and select the class for which you want to add records.

    Click the Records tab and click Add Attendance Records.

    Result: Frontline displays the Add Records form.

    The form displays all enrolled learner, including the ones who are waiting for supervisor approval.

    Check the box next to the names of the learners for whom you want to record attendance. If a learner attended without supervisor approval and you enter attendance record for this learner, your name is recorded as having approved the enrollment.

    Last day of the class is entered automatically as Date Completed. Change it if necessary. You may also enter or change other fields (such as Score, Result, Credited check box and class costs) in the class learner record details section of the form on the right.

    Note: All of the fields you enter in the class learner record details apply to all the learners you selected in step 4. If you need to add different details for different learners, enter records in batches of one or more learners.

    Click Save.

    Result: Frontline records an attendance record for the learner and changes the learner status to "Attended." The training item attached to the class is taken off the Frontline Desktops of the learners who received "Credited" record for the class.

    How to Use the Credit Via Key Process

    When Credit Via Key is checked on the class details page:

    • Learners can credit themselves for the class using a unique random number called credit key.
    • Learners can print a certificate of completion for the class.
    • Administrators can require learners to fill out a survey before receiving credit for a class.

    This table describes the Credit Via Key process.

    Stage

    The administrator checks the Credit Via Key box on the class details form. The administrator also checks the Survey and/or Certificate boxes when learners are required to complete a survey and/or allowed to print a certificate.

    2

    The administrator prints the class roster, which lists a unique credit key (a random number) for each leaner.

    The instructor holds the class and gives each learner their unique credit key.

    4

    The learner logs on to Frontline, clicks on the training item attached to this class on their Frontline Desktop, and clicks Record Attendance.

    Note: The learner must log in within the validity period for the credit key, which is 30 days by default.

    When a survey is not required, Frontline displays a box where the learner enters the credit key.

    When a survey is required, Frontline displays the survey. Once the learner completes the survey, Frontline displays a box where the learner enters the credit key.

    When certificate is checked, Frontline displays a certificate of completion. The learner can print the certificate.

    Frontline changes the learner's status to "Attended" and takes the assignment off the learner's desktop.

    How to Attach Documents

    You can create links to documents such as pre-work, signed roster (sign-up sheet) or training documents used during a class to an open or completed class. The documents must be scanned and stored on a network share or must already be on a network share. You can also add a link to an on-line meeting.

    Select Classes > Open or Completed from the LMS module menu.

    Find and select the class to which documents are to be attached.

    Click the Attachments tab.

    Enter a title for the document (e.g. Pre-work, Signed Roster, Click here to join on-line meeting or Presentation material). Click Choose File button to locate the URL for the document on the network share. In case of an on-line meeting, simply paste its URL (such as https://www1.gotomeeting.com/join/124762577) in the URL field.

    Click Save.

    Result: The attachments are saved on the left-hand side with corresponding links shown on the right.

    Repeat this process for additional attachments. Learners will see these attachments when they click on the hyperlinked class name on the Class Registration page.

    How to Print Certificates

    You can print certificates for learners if

    • The certificate box is checked for the class, and
    • The learners have a completion record for the class.

    Select Classes > Completed from the system menu.

    Find and select the class for which you want to print the certificates.

    Click the Print Certificate link.

    Result: A new window will open displaying the list of learners who have completed the class.

    Check the box next to the names of the learners whose certificates you want to print.

    Click Print Preview to print the certificates.

    How to Copy a Class

    You can copy any open or completed class. Use the Copy button when:

    • You create classes repeatedly for the same training item.
    • You have a class with a waiting list and want to add a new class for the learners on waiting list. Copy allows you to conveniently select the learners on waiting list for the new class.

    Select Classes > Open or Classes > Complete from the system menu and select the class you want to copy from the list.

    Click the Copy button.

    Result: Frontline displays the Copy Class form.

    Enter the Class Name.

    Note: Class name is mandatory and must be unique.

    All optional fields under the Class Information and Other blocks are copied from the original class. Review these carefully, and edit them if not applicable for the copied class.

    Click the calendar icon and select the Start Date and End Date for the class.

    Notes: You can enter past dates if the class is already completed, and you are simply recording it. The class is immediately moved to the Classes > Completed folder, from where you can enroll learners and enter attendance records (explained below).

    Do you want to enroll learners from the original class or waiting list?

    If YES, check the box next to the learner's name or click the check all  at the top of the list to select all the learners.

    Click Save.

    Result: Frontline displays the class details form.

    Add or update other options and information for the class.
