Create and Maintain Assessments

Please read About Assessments before creating or editing your first assessment. An assessment must be attached to a training item. One assessment can be attached to many training items, but each training item can only have one assessment. In the training item form, the Test Requiredbox must be checked for an assessment to be delivered. The minimum permission needed to perform this task is Division Author.

How to Create an Assessment

Follow these steps to create an assessment.

Select Author > Assessments > (Organization level, if shown) from the system menu.

If you have access to multiple divisions or companies, select the division or company where you want to create the assessment.

Result: A blank form is displayed with the assessment section on the left side and the training item section on the right side.

Enter the Assessment Title and Assessment Code.

Note: You can use the same title and code for both assessment and training item.

If you are at company level and creating a assessment for a division, select the Division from the drop down list.

If you want to choose a job as an assessor, select Job.

Enter the first letters of the assessor's last name or the job in the assessor search box and click .

Select the name or job from the list.

Does the training item for this assessment already exist?

If Yes, click Existing, enter the search criteria, using % as a wildcard, if necessary. Click Search and select the training item from the list.

If No, enter the Training Item TitleItem CodeItem Type, and Hours Credit.

Note: You can use the same title and code for both assessment and training item.

Result: The assessment form is displayed.

Add Questions and Answers to the assessment.

How to Add Questions and Answers

Follow these steps to add questions and answers to an assessment.

Do you want to Import questions from another assessment? This is not very common.

If YES, follow the procedure Import Assessment Questions.

If NO, click Question: Add on the action toolbar.

Result: Step 1 of the Add Question Cell Wizard opens.

Select the Question Type.

Enter the Instructions for the Assessor.

Result: Step 2 of the Add Question Cell Wizard opens.

Follow these steps to add questions and answers content to an assessment.

Type in the question text here. Your question will automatically be formatted in the default professionally designed style. This will be applicable in a majority of situations.

enter an image or add formatting to the question, such as special font or font color

Click Paste HTML and enter the question and the desired image in the HTML editor. Use the toolbars to format the text and insert images. You must click paste to transfer the information entered to Create Cell wizard.

Select Next.

Result: Step 3 of the Add Question Cell Wizard opens. It is customized for the question type you selected.

Enter the Answers.

If you need more than four answers, select Add Answer.

Select Finish.

Select the Preview tab to see the question as it will be displayed to the assessor.

If you want to edit the question and/or answers, click the Content tab. Remember to click Update if you make any changes.

Do you want to add another question?

If Yes, go to Part 2 - Add Questions and Answers - step 3.

If No, close the assessment layout window by clicking the X on the top right of the window.

Result: You are returned to the assessment form. Total No. of Questions is automatically filled in with the number of questions you entered.

Select Preview on the assessment form and view the assessment.

How to Import Assessment Questions

Follow these steps to import questions with answers from another assessment.

Select General: Import Assessment Questions.

Result: The Import assessment question wizard is displayed.

Enter the first few letters of the assessment from which you want to import questions in the Assessment Title box and click the ellipses ....

Result: A list of assessments matching the search criteria is displayed.

Select the assessment from the list and click OK.

Select Display Questions.

Check the box(es) next to the questions you wish to import.

Select Import.

Result: All the assessment questions that you checked are imported.
