Grant and Maintain User Permissions
About Granting Permissions
Permissions control users' access permission to various Frontline functions, primarily administration and reporting tasks such as managing people, their curriculums, and other data.
Administrators can grant a permission to a person at the company level, division level, account level, or supervisor level. However, you must be an administrator at the same or higher level than the permission you are granting.
Follow one of procedures given below:
- Grant a permission with access permission to person's default company, division or account- This will be applicable in a vast majority of situations. In this procedure, Frontline grants access to a person's default company, division or account automatically when you grant a corresponding permission. Use this procedure also for granting all other permissions.
- Grant organizational unit permission to one or more companies, divisions or accounts that are not user's defaults - This is not a common practice. If you use this procedure, Frontline grants corresponding permission automatically.
For most administrators, it is recommended that you grant division permissions only. The company permissions should be granted only to people who have a need to administer and monitor LMS, ACT, or MOC activity in all divisions of a company. If you have only one division in your company, than only one or two administrators should be granted company permissions.
Any new person added to Frontline is automatically granted permissions of Learner, View Company Libraries and View Public Libraries. Any person who has been selected as primary or secondary supervisor of a learner is also automatically granted an additional permission of Supervisor Report.
For most training notification and reporting situations, it is recommended that all department managers be granted Account Report permission, and the site manager be granted the Division Report permission.
How to Grant Module Permissions to a User's Default Company, Division, or Account
Follow the steps below to grant module permissions to a user's default company, division, or account.

Select People > People Information > (Organization Level, if shown) from the LMS system menu. |

If you have access to multiple accounts, divisions or companies, select the account, division or company where the person is located. |

Find and select the person from the list. |

Select the Permissions tab. Result: The existing system codes for the selected person are shown. |

Select New. Result: The permissions that the person does not already have are shown. |

Select one or more permissions. |

Select Save on the toolbar. Result: The selected permission is assigned to the person. For company, division or account permissions, the person is automatically granted access permission to the person's default company, division or account. You may confirm this by clicking on the corresponding tab on the top, and you will see Yes under the LMS columns. |
How to Grant Access Permission to One or More Companies, Divisions, or Accounts that are Not the User's Defaults
Follow the steps below to grand access permissions to one or more companies, divisions, or accounts that are not the user's defaults.

Select on Accounts, Divisions or Companies tab for the selected person. Result: The existing accounts, divisions or companies for the selected person are shown. If there is more than one of these items listed, you will see only one of the items as default, under the Default column. |

From the list of accounts, divisions or companies displayed, click on the name for which you wish to grant access permission. Note: If you do not see the account, division or company for which you want to grant access permission, you can add that by clicking on the New button, selecting it, completing step 6 below, and saving it. |

Select Admin and/or Report check boxes for the corresponding module to grant access to. |

Select Update. Result: The changes are saved. Select the List View button to see this more clearly. The selected person is also granted corresponding permission automatically. To see this, select the Permissions tab. |
